Email Marketing 101 (Part 2): What to Write, How to Automate, and Lead Magnets That Actually Work in 2026
In Part 1, we covered what email marketing is, how to get set up, and how to create a lead magnet to grow your list. Missed it? Read it here.
Now we're going deeper into lead magnet formats that are actually working, how to automate the repetitive parts of your email marketing, and what to write so people actually read and respond.
Let's get into it.
PDFs No Longer Work. Here's What to Do Instead
Let's be honest about lead magnets, especially the classic PDF or checklist.
In 2026, PDFs are losing their edge. The internet is saturated with "free guides," "download this checklist," and "get our ebook." People can Google the same information or ask AI and get answers in seconds.
So when a lead magnet feels generic or recycled, people scroll past it. And worse, it can hurt your credibility.
So what does work? Here are three high-impact formats we've used at Vezibility.
Format 1: Webinars and Masterclasses
Webinars and masterclasses feel premium, exclusive, and high-value, even when they're free.
They create a connection. People engage, ask questions, and remember you because of the experience.
Case Study
Goal-Setting Masterclass (2024)
We hosted a masterclass for event planners who wanted to increase sales in the new year.
The promise was clear. The outcome was specific.
Result: 250+ registrations.
Why it worked: It solved one clear problem and made the value obvious.

Case Study
Stand-OUT Masterclass
This was positioned for action-takers and included an Audit Guide as a bonus. That simple combination of experience + practical value made it powerful.
Result: High engagement and sign-ups from action-takers.
Why it worked: Experience plus practical value. It didn't feel like a freebie. It felt like something worth showing up for.

Format 2: Workshops
Workshops go deeper than masterclasses.
Instead of just teaching, you guide people through something. They take action, complete tasks, and leave with results.
Case Study
Mid-Year Reset Workshop
A full-day, hands-on session where participants reflected, planned, and reset their business.
Result: 100+ registrations in both 2024 and 2025, no ads.
Why it worked: People signed up because they knew they would do the work, not just listen.

Format 3: Interactive and High-Value Resources
Templates, audit guides, quizzes, calculators; these work because people don't just read, they engage. They get a result.
Case Study
Financial Projection Template & Event Planners Audit
Both had 200+ downloads each. The difference? They weren't generic.
- The financial template included built-in calculations and structure
- The audit introduced unique evaluation lenses
People didn't just download them — they used them.

How to Save Time with Email Automation
Running a business means you're doing a lot such as content, clients, payments, follow-ups.
Some of those tasks don't need you. That's where AI & automation comes in.
One of those tools is Zapier.

What is Zapier?
Zapier is like an invisible assistant that connects the tools you already use such as Gmail, Google Forms, Notion, Calendly and makes them work together automatically.
Instead of moving information manually, Zapier handles it.

A "Zap" has two parts:
- Trigger: what starts the action (e.g., someone fills a form)
- Action: what happens next (e.g., they get a welcome email)

What can you automate?
- Send a welcome email when someone joins your list
- Deliver a welcome package after booking
- Send payment confirmations (Paystack or Stripe)
- Add leads to your email list automatically
- Send reminders without manual follow-up
How to create your first Zap
- Go to zapier.com and sign up
- Choose your apps (e.g., Google Forms → Gmail)
- Click "Create Zap"
- Set your trigger (New Form Response)
- Set your action (Send Email)
- Test and turn it on
What Do I Actually Write in My Emails?
This is where most people get stuck. You've set everything up… and then:
It's not that you don't have ideas. You're just overthinking it.
After years of writing emails that people actually reply to, I've learned this: your best content doesn't come from perfection. It comes from connection.
Think of email as your space
Social media is borrowed. You don't control who sees your content.
Email is different. You own it. Your audience chose you. And when you show up in their inbox, you have their attention. That's where trust is built.
So what should you write?
If you're stuck, ask yourself:
- What do people always ask about my work?
- What lessons do I wish more people knew?
- What behind-the-scenes moments can teach something?
That's your content. It doesn't need to sound perfect. It just needs to sound like you.
How often should you email?
Choose a pace you can stay consistent with. For most small business owners, biweekly works best. Twice a month is enough to stay top of mind without overwhelming your list or yourself.
Whatever rhythm you choose, stick to it. Your audience will come to expect and look forward to your emails. That expectation is one of the most valuable things you can build.
Action Plan
- 1Answer these 3 questions: What do people always ask about my work? What lessons do I wish more people knew about my journey? What behind-the-scenes moments can teach something valuable?
- 2Brainstorm 3 to 5 email topics based on your answers.
- 3Draft one short email using one of those ideas — under 200 words, conversational, and simple.
- 4Decide your email frequency: weekly, biweekly, or monthly.
- 5Start a Content Bank — a running note on your phone or Google Docs where you capture ideas anytime inspiration strikes.
Before You Go
Email marketing isn't a "set it and forget it" game. It's about showing up, providing value, and building a connection that lasts, one email at a time.
You don't need your emails to be perfect. You don't need a big list. You don't need the best template or the most sophisticated automation. You just need to start.
Once you hit send on that first email, you'll realise it's not nearly as scary as it seemed. And once you get your first reply telling you that your email was exactly what they needed to hear, you'll understand why this channel is worth building.
Your audience is out there. They want to hear from you. Email is the best way to reach them directly, consistently, and on your own terms.
Go build that list. You've got this. 🚀
